How do I book for my whole team or a group?

A group booking is perfect if you want to take the initiative and invite a few colleagues to sit in the same area of the office with you.

Instead of asking your team to all book individually for the same day and in the same area, you can now simply make a booking for several people at a time.

This could be your own team or any group of people you choose - from project group to your lunch friends, just add whoever you want to be there with you.


First, go to Add Booking and choose Group Booking in the right column. Make sure you select the right day in the calender view, you cannot switch at a later stage.

You will be directed to the usual booking flow, with some new additions. In the lower left corner, you will find new field called Add participants


  • Here you can invite entire (azure) groups based on their e-mail address or add everyone individually.  
  • If you invite externals, you can do this using the e-mail address. They will then receive a notification by e-mail. They will automatically be allocated a place without having to confirm.

Tip: To add all the people from your team at the same time, you can simply enter the email address of a group, e.g. sales@company.com and then click ENTER.
All people will then appear in the field at the same time.

After adding all participants, you can make a few other changes:

  1. Choose the desks for all participants by clicking on them individally on the floorplan
  2. Add details to the meeting, e.g. a note "let's grab lunch together afterwards"
  3. Edit the time. All day is preselected for the day you selected on the landing page. You can only edit the time frame. To switch the day, please go back to the landing page.

How do I get invited to a group booking or a team day?

As soon as someone invites you to a group booking or a team day, you will receive an email notification with all the details. 

Clicking on the link will direct you directly to the day of the invite in Seatti where you can accept or decline it in the planning part of the app. Once you accept, your avatar get's a green checkmark. If you decline, it's red. When you accept, you will be assigned to a desk automatically.

 

 

You can edit the booking via the 3 dots on the lower right corner of the card, like any other booking, too.

  • If you decide later on that you cannot participate, you can decline the invite.

  • You can give a reason which the organiser will be notified about.

  • The invite will stay visible but collapsed.

  • You can then either accept it again or if you're 100% sure you can't join you can also delete it completely.

     

If you already have a booking for the time you make the group booking, your personal booking will be

  • deleted if the group booking is at the same time
  • shorten your personal booking to make space for the group booking

Please note that group bookings do not trigger a check-in message.

You can only check-in for personal bookings and parking spaces but not for invitations.

 

FAQ:

Do I get a notification about an invitation from the Seatti assistant?

We are still working on that. For now you only get an email notification. In the future the Assistant will be able to notify you, too, when you get invited or when the organiser cancels the invite.

Do I get a calendar invite?

No, it is like a normal workspace booking in Seatti. You can see all details in the Seatti App but we don't want to spam your calendar.

Can I change the time of my invite?

No, you as the organiser cannot change the time of the booking.
You would need to delete your invite and send a new one.

Can someone else book the desks I need for my group booking?

No, desks are completely blocked unless someone deletes the invite and cannot be booked by anyone else.

How long in advance can I invite a team?

The same pre-booking time as for workspaces applies.

What happens if I already accepted and the organiser cancels the invite?

Your booking will be changed from a group booking card to a normal booking card.

This feature is only available in the Hybrid Pioneer Package.
