How does the Catering and Service module work?

If you have the Meeting Room module activated in Seatti, you can use Catering & Service as an additional module.

Where can I find the settings for Catering & Service?

  1. First, you need to activate the Catering & Service module next to the Meeting Room module in the Settings (slide the switch to the right to make it turn red).
  2. Then, on the first level of each area (what appears in the first dropdown), you can generally activate Catering & Service.
  3. Finally, you can decide for each meeting room whether catering and other additional services should be available for booking or not. (Often, there is a conference area where catering is available for its rooms, and other regular meeting rooms where no additional services can be booked. To reflect this, the admin can decide room by room where the service should be available.

How to configure the Catering & Service module for an office?

You can go to the "Areas" section and for each area on the top level, you can set one or more recipient email addresses for catering or other additional requests.

For example: catering-berlin@yourcompanyname.com 

and service@yourcompany.com. Thisway, during the meeting room booking process, employees can select the appropriate email address, and the relevant team responsible for those email addresses will receive all the information from the system.

 

 

Please make sure that the address is spelled correctly!

It's a good idea to send a test email beforehand to inform the relevant team and then copy the address to ensure that the workflow doesn't end up going nowhere.

If your company has only one office in Seatti, for example, it could be the reception email address. If your company has multiple offices in Seatti, it's recommended to use a meaningful address per office (this might need to be set up by your IT), making it easier for employees during the booking process to select the correct address. A catering order placed in Seatti will then be sent from catering@seatti.co (sender address) to the recipient email address you have provided and the employee has selected.

This order email includes all relevant information:

Automated:

  • Name of the meeting room for which catering was booked.

  • Date and time of the meeting.

  • Contact details of the employee who placed the order (for possible inquiries).

     

    Added by the employee: (Marked with * = Mandatory field)

     

  • Number of participants requiring catering (as this might not always match the number of invitations sent).

  • Cost center to which the charges should be attributed.

  • Selection and quantity for each chosen option from the catering menu configured in Seatti.

  • Information from the free-text fieldz (e.g., specifying required workshop materials).

If the meeting is deleted within Seatti, a cancellation notification will be sent to the recipient email address.

However, if the meeting is modified or canceled in Outlook or Teams via the calendar, the catering team needs to be directly notified via email.

The relevant email address can be found by employees in the original confirmation email from Seatti.

Unfortunately, Seatti does not have the technical capability to trigger actions when events occur outside of the Seatti app.

Catering Menu - What Can Be Ordered?

Under the "Areas" section, you can define and set up a catering menu. Colleagues can then select the desired quantity of food and drinks from this menu.

Additionally, there is still a free text field where additional information can be provided. This information can pertain to the exact timing during the meeting or other supplementary details.

How do I define which rooms can have catering ordered?

For each meeting room, you can individually decide whether catering or other additional services (such as providing workshop materials or changing seating arrangements) can be added or not. To do this, simply activate the slider for "Catering & Services" on the respective meeting room in Seatti. If employees select this room, icons for catering and services will be displayed directly on the room, otherwise not. By clicking on the icon, employees can access the ordering form.

The ordering form is intentionally not included as a standard field in the regular booking process. This is to ensure that ordering is not done without proper consideration, but rather that only employees who frequently order catering and are properly informed can utilize this function.
