On-behalf booking: how can I book for someone else?

In Seatti, you can also book workspaces or parking spots for others. This feature allows you to reserve spots for individuals without direct access to Seatti or for colleagues whose bookings you manage.

On-behalf booking works just like any normal booking, you just need to indicate that it is a booking for someone other than yourself and who you are booking for.

Step-by-step guide: 

  1. First, go to the right-most icon in the booking mask
  2. Second, switch to Book for someone.
  3. Third, a new field pops up on top where you need to enter who you are booking for.
    This is a mandatory field and you can only complete the booking when it's filled.

In the field labeled Enter Name / Email Address / Description, you can search for the names of employees, enter the emails of external individuals, or input free text.

Once you input an internal colleague or an email address into the field, an invitation email will autromatically be triggered.

The invitee doesn't need to take any action but has all relevant info in the email.

However, what the feature is perfectly suitable for (and what it was developed for) is booking for externals or for the first days of new teammates, before they have an account and can book a place in the office themselves. Additionally, you have the option to book a spot for colleagues who are currently offline.

With the on-behalf booking, you reserve an extra place in your name.

In the Planning view, thanks to the text with the black background:

  • which one is your own booking (1)
  • and which one is for someone else (2) 

Your colleagues can see in the dropdown that the place was booked by you. This is because they would also have to contact you (and not an external) if, for example, they have a request as to whether you could use another desk for the person you invited.

Directly on the floor plan, colleagues can see where you are sitting (1) and where your visitor is sitting (2), indicated by the same icon as in step 1 above.

In the Meetup view, you will see the name of your visitor that you entered on the free text input field - together with the info about who made the booking.

  • An internal employee has been invited (1)
  • The email address of an external person has been provided (2)
  • Only a name has been entered into the free text field (3)
